WNYMUG Doctrine & Bylaws

Article I: Name of Organization

The name of the organization shall be the Western New York Macintosh Users Group.

Article II: Purpose

  1. To promote good fellowship and voluntary cooperation among all members of the organization in an environment that encourages active volunteer participation
  2. To maintain financial stability for the organization in support of its educational activities by means of fees and donations, and judicious procurements
  3. To support and expand its membership and membership activities by utilizing state of the art computer communication technologies
  4. To promote the formation of special interest groups to pursue specific areas of user interest in Macintosh computer technology and applications
  5. To represent the membership as a group and promote the best interests and common good of the membership and the organization

Article III: Membership

  1. Membership shall be comprised of persons having an interest in the use of Macintosh computers and/or computer education.  Any person will be eligible for membership in the organization.
  2. All members shall have the right to privacy of their records kept by the organization.  No list of members with their addresses, telephone number, or other private data shall be sold, given or used for other than WNYMUG purposes, unless required by law.

Article IV: Dues

  1. Dues for members shall be determined by the WNYMUG Core and voted upon at the general meetings.

Article V: The WNYMUG Core

The WNYMUG core shall consist of the following positions: Convener, Secretary, Treasurer, Webmaster, SUNY Fredonia Liaison, Community Liaison and Apple Ambassador.
  1. Description of WNYMUG Core Positions, specific duties as listed;
    1. Convener – The Convener shall facilitate all meetings of the membership and the WNYMUG Core.
    2. Secretary – The Secretary shall notify members of all meetings of the WNYMUG Core; shall keep records of all meetings; and shall safely keep all documents and papers that come into his/her possession by virtue of his/her office.
    3. Treasurer – The Treasurer shall keep or cause to be kept an account of all monies received and expended by the organization and shall make disbursements authorized by the WNYMUG Core.  He/she shall deposit, or cause to be deposited, monies of the organization to the credit of the organization in such bank or banks approved by the WNYMUG Core. He/she shall provide a monthly treasurer’s report.
    4. Webmaster – The Webmaster shall be responsible for the maintenance, and improvement of the WNYMUG.com webpage, They will also be responsible for making recommendations to the WNYMUG Core for any changes in upgrading of hosting, or any other services that may be required. He/she shall also be in charge of the monthly newsletter of the organization.
    5. SUNY Fredonia Liaison – The SUNY Fredonia Liaison shall be responsible for maintaining a working relationship with SUNY Fredonia.  They shall reserve SUNY Fredonia facilities as required; coordinate through University Police parking for core and general meetings. They shall also represent WNYMUG in pertaining to the pursuit of any funding and promotional opportunities through SUNY Fredonia.
    6. Community Liaison – The Community Liaison shall be responsible for maintaining a working relationship with the community.  They shall reserve community facilities as required for core and general meetings. They shall also represent WNYMUG in pertaining to the pursuit of any funding and promotional opportunities through the community.
    7. Apple Ambassador - The Apple Ambassador shall be the primary contact between Apple and WNYMUG.

Article VI: Election to WNYMUG Core

  1. Qualifications for Eligibility for a seat of the WNYMUG Core
    1. The Convener, Secretary, Treasurer, Promotions/Webmaster, Community Liaison and Apple Ambassador require one year of membership to WNYMUG.
    2. The SUNY Fredonia Liaison must be a member of the faculty/staff of SUNY Fredonia
  2. Procedure for Election of All Members of the WNYMUG Core
    1. Elections for the WNYMUG Core shall take place within the last four (4) weeks of August.
    2. A special meeting must be called for nominations, in which anyone can nominate anyone that is a member of WNYMUG and meets the requirements for a position. Following this process, nominees have one week to submit a letter of intent to the WNYMUG Core.
      1. If a member knows that they will not be able to attend this meeting, they may submit a letter to the Convener stating so and asking for a nomination.
    3. At the next General Meeting, speeches may be given and elections will take place.
  3. Terms of Office
    1. All elected officials will serve a one-year term as the position they were elected for, from August to the end of July.
    2. In the event that an elected position is vacated, an election for the position will take place at the next meeting.

Article VII: Meetings

  1. General Meetings
    1. Shall be held monthly, at the discretion of the WNYMUG Core.
    2. Dates, times, and locations must be posted on WNYMUG.com
  2. Core Meetings
    1. Shall be held monthly, at the discretion of the WNYMUG Core.
    2. Specific Meetings may be called by:

      1. The Convener
      2. Three (3) members of the WNYMUG Core
  3. All members shall be welcomed and made aware of dates, times, and locations of all WNYMUG Core meetings.
  4. All meetings shall be conducted using the most recent edition of Robert’s Rules of order.

Article VIII: Copyright Recognition

  1. It will be the policy of WNYMUG not to allow the illegal copying, duplicating, or transference of copyrighted software at any meeting or function.  In addition, it is the official policy of WNYMUG to condemn and discourage any software piracy, which is brought to the group’s attention.

Article IX: Amendments

  1. A proposal to amend this doctrine may be made by any member of the WNYMUG.
  2. Proposed Amendments must be presented to members one meeting before voting on the amendment.
  3. Prior to a meeting involving voting upon proposed by-law changes, notification must be sent out to all members.
  4. Any proposal must receive two-thirds vote at any general meeting in order to pass.
  5. Notice of all bylaw amendments must be published so that all members are notified of changes

Article X: Dissolution

  1. In the event of dissolution of the organization, the WNYMUG Core shall, after paying or making provision for paying all liabilities, dispose of the assets of the organization by donating all monies, and property, to the Chautauqua-Cattaraugus Library System.
